Planning your visit

​Partner schools will need to designate 1 camp coordinator to become the main liaison with Runaway Bay Sport and Leadership Excellence Centre (RBSLEC) staff. This will ensure there is a central point of contact who will be provided with all the information and correspondence that is required to plan camp while the RBSLEC team will be available to the camp coordinator for any questions or clarifications.

Please become familiar with the RBSLEC Terms and Conditions (PDF, 245KB)​ upon booking. There are also a number of forms that will need to be completed and sent 3 school term weeks prior to the group’s arrival. These forms will be sent to the camp coordinator and can be accessed below.

Forms to be completed by school

​​​ ​Camp Co-ordinator form (PDF, 706KB)
This form allows you to advise us of your camp co-ordinator whom we can send all correspondence​ and details to. There is also a list of the activities for you to peruse and mark those that you would like included in your program.

​ ​Form C – Medical and c​onse​nt form (DOCX, 144KB)
​This form should be completed by the parent  and returned to your school. Once received, these forms must be scanned and sent to us via email prior to arrival.

Lodge lists are to be completed with all students and staff who will occupy each lodge. 

​ Form E2 – Diverse learning groups (DOCX, 134KB)
List all students in each group. Please provide us with detailed information on each student with diverse needs.

​ Form F – Teacher medical form (DOCX 349KB)
This form is to be completed by any and all visiting staff, parents, adults etc that will be attending the camp.

​ Form G – Nominal advice (DOCX, 265KB)
This form is to be completed and sent back to us 3 weeks prior to your camp. This allows us to finalise all catering and accommodation details.

​ Form H – Catering form (DOCX, 316KB)
Once you receive the medical forms for all of the students attending camp, you will need to advise us of any dietary req​ui​rements needed for any students and staff/adults who will be attending camp. This form will be handed to our Chef onsite so does need to be accurate as they may not be able to cater for amendments needed on the day of camp.

Forms to be completed by parent and returned to school

​ Form B – Parents memorandum (DOCX, 142KB)
This form is particularly important. It advises you of what each student needs to bring for their camp. It will assist with any questions you may have prior to camp.

​ From C – Medical and consent form (DOCX, 144KB)
​The medical consent note, must be completed by parents and returned to your school.

Specialised medical forms:
​ Severe allergy – EpiPen form (DOC, 143KB)
​ Physical disabilities form (DOC, 142KB)
​ Epilepsy form (DOC, 144KB)
​ Diabetes​ form (DOC, 143​KB)​​

​​​These forms are for any student who has a specific medical requirement/​condition. This will allow your school and our RBSLEC staff to be well informed of any care plans in place for these students.

All these forms are required during camp as they contain information that either the visiting school and/or RBSLEC staff are required to have access t​o while your students are on site.​​​
